How It Works
From the first apartment search to lease verification.
You decide what the renter can search, send them a link, see which apartments they save, find similar properties, build the apartment list, collect feedback, and use populated NAAL Guest Cards & Lease Verification when they are ready.
Use the steps and tools that fit the way you work.

The Basic Process
What happens after you start using Locator IDX?
1
Decide what apartments the renter can search.
2
Send your Landing Page, Online Form, Apartment Map, or Live Search link.
3
The renter searches and saves the apartments they like.
4
You see their saved properties inside the contact record.
5
Use a saved property to find similar apartments and comps.
6
Build and send the apartment list.
7
See favorites and write notes back and forth with the client.
8
Use NAAL Guest Cards & Lease Verification as the client moves toward leasing.
Step 1
Decide what the renter can search.
You control which apartments qualify before you send the renter a search.
Set a minimum rent
Choose the minimum apartment price you want included in the search.
Set a minimum commission
Choose the minimum commission you are willing to accept so properties below that amount do not appear.
Choose specific properties
Create a custom Apartment Map when you want the renter to search only properties you select.
The renter searches from the apartments you approve. You stay in control of what they see.
Step 2
Send the renter a place to start.
Choose the link that fits the situation. Send it by text, email, social media, or from your website.

Locator Landing Page
Give prospects one simple page where they can start their apartment search and connect with you.

Online Form
Collect the renter's contact information and apartment preferences before you start building a list.

Apartment Map
Let renters start with location and browse the apartments you want included on the map.
You can also send the Live Search link directly when you do not need the renter to start with one of these pages.
Step 3
The renter searches and saves the apartments they like.
Live Search lets the renter look through the apartments you approved instead of waiting for you to manually send every option.
- Search apartments from a phone, tablet, or computer.
- Open property listings and view apartment details.
- Change the available search filters.
- Save favorite properties.
- Come back later and continue searching.

Step 4
See which properties the renter saved.
When the renter saves an apartment, you can see that property inside their contact record.
- See which apartments caught their attention.
- Open the saved properties from the contact record.
- Use their favorites before you build or change the apartment list.
- Stop guessing which properties they liked from a long group of options.
The renter saves the favorites. You can see exactly what they saved.
Step 5
Use one saved property to find the comps.
If the renter likes one apartment, Live Search Comps gives you a starting point for finding similar properties.
Start with what they saved
Open a property the renter already likes instead of starting the next search from scratch.
Find similar apartments
Use that property as the starting point for other apartments that may fit the renter.
Build the next list
Choose the properties you want to recommend and add them to the renter's apartment list.
Your lead saved one property. Now you have the comps.

Step 6
Build the apartment list you want to send.
Choose the properties you want the client to consider and send them in the list style that fits the situation.
- Classic List: a simple apartment list with the properties you selected.
- Comparison List: helps the renter compare several apartments side by side.
- Interactive List: connects the map, apartment list, property details, and notes.
Before you send the list, you can also check Commission Alerts for recent commission, management, and property name changes.
Step 7
See what the client thinks about the list.
The apartment list does not have to be the end of the conversation. Use the client's feedback to decide what to keep, remove, or send next.
See their favorites
The client can keep track of the apartments they want to consider.
Read their notes
See what the client says about individual properties instead of trying to remember feedback from separate texts and emails.
Write notes back
On the Interactive List, you and the client can write notes back and forth about each property.
Step 8
Use NAAL Guest Cards & Lease Verification when the client is ready.
Locator IDX keeps the paperwork connected to the same contact after the apartment search moves toward touring, applying, and leasing.
- Download a populated NAAL Guest Card for properties saved to the apartment list.
- Use the Guest Card when the client visits or works with the property.
- Download a populated Lease Verification Form after the renter is approved.
- Keep the forms tied to the same contact record as the apartment search and lists.
From Search To Lease
The same contact can stay with you through the entire search.
Their apartment preferences, saved properties, apartment lists, notes, NAAL Guest Cards, and Lease Verification stay connected instead of being spread across separate messages and files.
Use It Your Way
You do not have to use every step or every tool.
Send Live Search to one client. Build an apartment list for another. Use Commission Alerts before sending properties. Download NAAL Guest Cards when you need them. Use the parts of Locator IDX that fit what you are doing.
